Youth members must be at least 7 years of age and may participate in any special project or event planned and coordinated by the committee.
Changes, improvements, or enhancements to the appearance of your lot or exterior of your home are inspected to ensure compliance with the Design Guidelines for Brambleton. Additionally, properties and improvements are inspected to ensure that they are maintained in good order and repaired in a neat and orderly condition.
Authority for these inspections is found within the Declaration for Brambleton, Section 3.3. Easement for Upkeep.
(a) Association Access. The Declarant, on behalf of itself and its successors and assigns, hereby grants the right of access over and through any portion of the Property (excluding any improvement) to the Association, the managing agent and any other Persons authorized by the Board of Directors or the appropriate Covenants Committee, in the exercise and discharge of their respective powers and responsibilities, including without limitation to make inspections.
All inspections are performed by members of the Brambleton Community Association staff. Staff does not typically enter fenced yards or access decks during these inspections unless necessary to view conditions. In accordance with the Association’s enforcement policies, notice will be sent to provide time to correct items noted to be in violation of the Brambleton’s governing documents or policies. Please contact our Community Standards Department by email if you have questions regarding the inspection process or any other Covenants related matter.
Most exterior changes or alterations to your home require review and approval by the Covenants Committee. The committee typically meets the second Monday of every month, at the Brambleton Community Association office, to review completed design review applications. You are welcome to attend but attendance is not required for your application to be reviewed.
To submit a proposed exterior modification to the Covenants Committee for review, an owner must complete the Design Review Application. This form is available on the Association’s website, in our office or in response to requests submitted by email.
Brambleton’s Design Guidelines contain specific information on a variety of exterior modifications and owners should familiarize themselves with the guidelines related to their proposed improvement before completing a design review application.
Completed applications may be submitted via email, by fax to 703-542-6266 or to the management office at 42395 Ryan Road, Suite 210, Brambleton 20148. A drop box is located outside of our lobby entrance for after-hours submissions and materials are retrieved each business morning.
Covenants Committee meetings are held once each month. Their meeting schedule is published on the Association’s website and in our monthly e-newsletter. Any changes are shared on this website and on Brambleton Community Association’s Facebook page.
A decision letter will be mailed to your home address within a week informing you of the decision of your Design Review Application. Decision letters for applications that have been approved as submitted will be mailed via First Class U.S. Mail to the Brambleton address of the applicant. Decision letters for applications which have been approved with conditions or denied must be sent via Certified Return Receipt Mail so that the Association has proof of mailing. As a courtesy, a copy of the letter will also be sent via First Class U.S. Mail.

In response to requests for expedited review, the committee members have agreed to perform an expedited review of applications outside of their regularly scheduled meetings if the following conditions are met:
The time-frame for response to a request for expedited review varies. The committee members will make every effort to provide a timely response however, as the committee members are volunteers, not employees of the Association, their availability outside of a meeting is not certain. Please be aware that not every request for expedited review can be honored. Applications which cannot be reviewed in an expedited manner will automatically be referred to the next regularly scheduled Covenants Committee meeting.

Beacon Crest Club room is available from 10 a.m. to 8 p.m. Beacon Crest Pool can be rented on Friday and Saturday from 8 p.m. to 11 p.m. during the pool season.

Beacon Crest Club room is supplied with a large table, chairs and mini fridge, and TV with Fios. The outdoor patio area has several tables with umbrellas, chairs, grill and fireplace.
Brambleton Corner Clubhouse has 16 - 60 inch round tables and 12 - 6ft, rectangle tables, and 160 stackable chairs. There is a caterer's prep kitchen with commercial appliances including refrigerator, freezer, ice maker, dishwasher, and microwave. This facility is outfitting with drop down projector screen, with Fios, Blue Ray DVD, and Bluetooth audio connections.
Refinance Demands, Payoffs, and Financial Updates are now processed through www.homewisedocs.com.
BCA must receive written authorization from the seller/current owner in order to process refinance and resale demand requests. Authorization forms can be uploaded directly to HomeWiseDocs when placing the order. Please note that demand requests and updates are processed in the order in which they are received. Lender Questionnaires are now processed through www.homewisedocs.com. The cost for completion of a Standard Mortgage Questionnaire is $125.00. There is an additional $50 fee for completion of a Lender-Specific Mortgage Questionnaire.

Bram Life Passes (pool passes) can be obtained at the Brambleton Community Association Management Office located in the Brambleton Town Center at 42395 Ryan Road, Suite 210. We are upstairs from the Welcome Center on the second floor.
Regular office hours are Monday through Friday, from 9 a.m. to 5 p.m. Eligible residents over the age of 18 will need to provide a photo ID and verification of their residency in Brambleton. In addition, if you are renting a property in Brambleton, a copy of your current lease and a letter of permission completed by your landlord is required. The lease and letter will need to be provided to our office each year for facility use.
All family members over the age of 2 must have a pass to use the pool. A photo will need to be taken and printed on a card. This card is good for as long as you live in Brambleton.

Important considerations: Checks must be made payable to “Brambleton Community Association”. Payments must reference the account number or include the payment coupon to ensure the payment is properly recorded.
Online Bill Pay
Owners may pay assessments using an online bill paying service from their personal banking institution. When establishing the service with the personal bank, use the lockbox address above as the payee address and reference your account number to ensure the payment is properly recorded.
Important considerations: There is a processing time of three business days for electronic payments. Financial institutions that do not work with partnered clearinghouses mail payment as a manual check and processing time may take longer than three business days.
With this program, the owner authorizes FirstService Residential to withdraw the monthly recurring assessment amount from a designated checking or savings account. Owners can sign up for Direct Debit service online using the following link: www.clickpay.com/firstservice. Please note that management of the Direct-Debit program has transitioned to ClickPay effective March 20, 2017.
This change will not disrupt payments set up through our original Direct-Debit program, and no action will be required. Payments through the Direct-Debit program will continue to withdraw automatically and will be listed on owner bank statements as the community or association name. If you wish to manage or edit your payments made through the Direct-Debit program, please contact ClickPay with the owner account number found on your statement or coupon.
If corrections in the debit amount are necessary, it may involve an adjustment (credit or debit). These transactions will occur during the first week of each month the Assessment is due. There is a service charge per payment returned, for any reason. If two payments are returned within one year, the service will be stopped and owners will be responsible for making payments on balances due.
Cancellations are not automatically processed when a property is sold or transferred. Automatic Debit authorizations remain in effect until written notice of cancellation is processed by FirstService Residential.

Important considerations: Account information is privately held between ClickPay and the property owner. Processing fees apply for all credit card payments, as well as for one-time e-checks. Recurring e-checks are processed at no charge. ClickPay payments typically take three business days to process. Expedited payment (one business day) can be requested for an additional charge.
Payment amounts are established by the owner and will NOT automatically adjust each year to the appropriate assessment amount; owners must access their account to adjust payment amounts.
***Assessment payments are NOT accepted at the Brambleton Community Association management office due to the fact they are processed as of the date of receipt at the bank or in the Accounting Department. Please note that cash cannot be accepted at the Brambleton Community Association management office or at FirstService Residential offices for payment of assessments.

You will automatically receive a copy of the budget when you request the Questionnaire.
If you need copies of bylaws, declaration or governing documents, there is a charge of 10 cents per page for scanned and electronic copies. Printed copies will incur a charge of 15 cents per page for the documents.
Each household will receive ten complimentary guest visits for the pool season. These complimentary visits will be placed on a household account and will be tracked within the Bram Life Pass database; physical complimentary passes will not be issued. Residents must inform the entrance guard of the number of guests accompanying them upon entering the facility, at which point the guard will debit your household account. There will be a maximum of four guests admitted at any time per eligible user household. Additional single visit guest passes can be purchased at the guard station for $5.00 by check only. Multiple guest passes can be purchased at the Brambleton Management Office: 10 guest passes for $40.00. All guest passes are valid for that season only; no refunds for unused passes. Cash or checks are accepted at the Brambleton Management Office.
Brambleton’s Bram Life Pass system and database allows for the creation of a “Pass for Life” issued to all single-family (attached and detached) and Residences condo owners and their families. If you are a single-family or Residences condo owner, have not changed your address since the end of the 2009 Swim Season, and currently have passes created in 2007 or later, you have a “Pass for Life” and do not need to register this year. Who needs to register for a Bram Life Pass this year? If you are new to Brambleton, do not have passes, did not register for a pass in 2007 or later, or are a single-family or Residences tenant named on a lease, you need to register for your passes this year. Passes created before the Bram Life Pass rebranding are still active and do not need to be updated unless your information has changed. There is a $5 per pass fee for residents who have lost, misplaced or discarded their valid passes. OWNER ID REQUIRED AT TIME OF REGISTRATION. Children who age up into a new age bracket (2-11, 12-15, 16 and over) will also need to have new passes made. If your household registered in 2007 or later, and are not tenants named on a lease, a new registration form will not be required for an updated pass to be issued.
A. Eligible Members shall be any Owner(s) of record who is in Good Standing with the Association who resides in a single-family detached or attached Lot, within the Association (or their designated tenants) or any Owner(s) of record who resides in a Multifamily Lot or condominium unit who is entitled to use of the recreational facilities in accordance with Article 6, Section 6.2(a) (3) of the Declaration for Brambleton Community Association. 1.their spouses; 2.children under the age of twenty-three (23) who are living at home, attending school on a full-time basis or serving in the military; 3.any children, under the age of twenty-three (23), residing in the home of a parent on a part-time basis due to custodial arrangements, and 4.up to two additional adults who reside at the address and can show proof of residency. B. Lessee of Record (renters) of a home in Brambleton Community Association, as long as the lease is a minimum term of six (6) months, and their immediate family. C. The Board of Directors may suspend pool privileges in accordance with Article 12, Section 12.1 of the Declaration. D. Eligible Members who lease their unit may transfer their rights to use of the Recreational Facilities by notifying the Association, in writing, using the form attached as Exhibit A, of the names of those tenants living in the unit who are entitled to use the recreational facilities. A non-resident Member who leases his/her unit is not entitled to use of these pool facilities if this privilege has been transferred to the tenant. E. Guests under age 21 must be escorted by an eligible pool user with a valid facilities pass who is sixteen years of age or older. Guests will not be admitted to the pool without such escort. One guest age 21 and older may be admitted to the pool without an escort by displaying a valid Bram Life Pass (pool pass) and guest pass from an adult Member of the household. All guests must register with the pool manager prior to entering the pool. The conduct of guests is the responsibility of the escort or the pool user who has invited them to the pool. F. The Board of Directors may, from time to time, establish rules with respect to guest privileges, including the number of guests that may be admitted and fees, if any, for such guests. There will be a maximum of four guests admitted at any time per eligible user household.
Similarly to showering, wearing a proper and dedicated swimsuit or attire reduces the risk of bringing waterborne illnesses and contaminants into the pool. Cotton and some other materials can hold detergents, germs, and bacteria which can be released into the water. This can cause a swimmer to get ill and affect water chemistry and clarity.
The Virginia statutes do not clearly define the validity period of a resale disclosure packet, but simply provide that it must be current as of the date noted on the packet itself. A disclosure packet update may be requested by the seller, seller's agent, the purchaser, or the purchaser's agent within 12 months of the delivery of the initial packet. The fee for an update is $50. The Association recommends requesting an update if the packet is more than two months old as several documents contained within the packet will likely be updated.
Requests for resale disclosure updates must be placed through HomeWiseDocs.com.
If the violations noted on the compliance inspection form are corrected and the seller wishes to have a one-time reinspection conducted and an updated compliance inspection form issued, a resale reinspection order must be placed through www.HomeWiseDocs.com. Materials generated by normal yard and lawn care which includes leaves, grass trimmings, brush, wood chips, and shrub/tree trimmings. Yard waste shall not include roots, stumps, rocks, soil or sod. Brambleton Community Association offers weekly yard waste collection and recycling services from March through December. Yard waste will be collected on Tuesdays during these months if it is properly prepared for collection. Collection requirements include the following:
If replacing the bulbs in the lamp does not render it operational, there may be a problem with the automatic sensor control (some needing replacement after 2 years or so), dirty or corroded light sockets, the breaker and/or the wiring. Because of the hazards of shock and electrical failure, please use caution when performing your own electrical maintenance or repairs. Consulting with your neighbors, builders’ warranty department, or a licensed electrician may be your best resource for resolution.
